Friends of CDA Executive Board Officer Positions 

President

  • Schedules and leads Monthy Board and Club Parents’ Meetings
  • Lead Booster Club Meeting: Create Agenda and slideshows
  • Review and edit meeting minutes (minutes recorded by secretaries)
  • Work closely with school Principal and school admin to identify, address, and achieve common goals and align on funding.
  • Liaise between principal/staff ( monthly)
  • Answer parent emails from [email protected] 
  • Assist in the planning and calendaring of Booster lead events and initiatives 
  • Work with the Events Committee heads to oversee school events and fundraisers ( help with ordering supplies as needed)
  • Sign and approve vendor contracts as needed
  • Work closely with Treasurers on budgeting
  • Be a face and presence of the Booster Club and encourage the values and the culture of CDA
  • Anything else that comes up

Co-President

This position will Co-lead and/or, in some cases, act as president, with the intention to becoming President once the current President is complete with his or her “term” (no term limits exist).

Assist in all of the President’s responsibilities (mentioned above).

This role is responsible for and is the Chairperson for the Nomination Committee (to help track nominations and recruit persons interested in taking positions for the following year)

  • Including, but not limited to: Assembling a team of parents to act as representatives from their grade to share with and nominate parents who might be interested in specific roles.

Vice President (of Community Fund)

This position is responsible for and in charge of spearheading the direct giving fundraising of the Annual Community Fund.

  •  Work with Booster Board and school leadership to determine direct giving fundraising targets for the year
    • Develop initiatives and set tiers for direct giving effort
  • Conceptualize (and create) materials relating to the Community Fund for the start of the school year (flyers, posters, banners)
  • Present budget and direct giving goals to all new incoming families – at kindergarten warmup and new family orientations
  • Present annual fundraising targets and budget goals 
  • Determine fundraising goals for the start of the school year and cadence of direct giving communications. (ie. 100% x 100th day, Hearts Campaign, etc)
  • Create a communications plan for direct giving initiatives
  • Work with Booster Board Treasurers to track all check and cash donations
  • Track all donations and keep an exact record by class
    • Provide follow-up receipts and thank you’s for check donations
  • Present fundraising status reports to Booster Board and Booster Club at large

** Optional: This role might also be asked to step in as President if the President or Co-President is unavailable.

VP of Programs

In this position, you will be the main point of contact and liaison for all third-party vendors for the booster clubs and the school administration/principal for all enrichment programs paid for and supported by Booster Club donations.

  • Take the lead on negotiating and renewing vendor contracts for the school year. (Music, Art, PE and Gardening)
  • Present proposals and budgets from vendors to Booster Board and Club.
  • Work with LSLC, ILT, and the Principal on creating the school schedule for all programs
  • Help facilitate the Winter and Spring performances for the Music Program (ordering equipment if needed)
  • Ordering Supplies for Visual Arts Program (as needed)
  • Submit vendor invoices (for payment) from all programs to the Google Expense Report to Treasurers 
    • Follow up with Treasurer to ensure invoices have been received and paid in a timely manner

VP of Fundraising

In this position, you will be the “main-hub” for all of our fundraising events and initiatives.

    • Brainstorm and schedule fundraising and community-building events for CDA
    • Liasiaon with all CDA events team(s) in organizing and implementing events =
    • Create flyers and social media assets with the details of the events, dates, and other information. 
    • Assist in the ordering and distributing of  flyers and signage for upcoming events
    • Coordinate with the merch team on any event-specific merchandise
    • Communicate with Booster Club, Principal, and teachers on promotion and marketing of events
    • Communicate with Room Parents to promote events to their classes and with parents 
    • Oversee Event Budgets and profits, update profit numbers for Booster meetings
    • Coordinate and communicate with the treasurers on event cash and stripe needs

Treasurer and Accounts Payable

  • Manage the Monthly and Quaterly Budget Overviews
  • Enter data (deposits and expenses/checks) and classify the donations and expenses to the different events.
  • Create a schedule from Stripe and Square each month for the correct allocation of donations to the event.
  • Reconcile the bank statement 
  • Yearly 1099s processed to vendors
  • Submit reports to CPA to process tax returns
  • Submit reports each month to review with the board and booster
  • Update the yearly budget in Excel and in QBO for each year
  • Write/Submit/Send the checks for the bills
  • Collecting the deposits and taking them to the bank
  • Pick up/Deposit donation checks from the drop-off box in the Main office.
  • Ensure the events team(s) have cash and square readers for the event(s).
  • Submit yearly renewals to DOJ for 501c3 status with the state
  • Liaison with President and Principal on yearly budgets
  • And anything money-related.
  • Optional: Help sell tickets and keep track of the money at events.

General Advisor

As a General Advisor, you will play a crucial role in providing guidance, historical insight, and expertise to support the mission and objectives of the booster club.

Responsibilities:

  • Historical Knowledge: Utilize your experience and familiarity with the organization to provide historical context and insight into past initiatives, events, and decisions.
  • Advisory Role: Serve as a resource for board members and committee leaders, offering guidance, advice, and support in navigating challenges and making informed decisions.
  • Answering Questions: Be available to address inquiries from board members, committee members, and other stakeholders regarding club operations, policies, and procedures.
  • Mentorship: Offer mentorship and support to newer board members or committee leaders, helping them acclimate to their roles and responsibilities within the organization.
  • Strategic Planning: Participate in strategic planning discussions and provide input based on your knowledge and experience with the organization’s goals and objectives.

Qualifications:

  • Previous experience as a board member or highly involved committee member within the Friends of CDA Booster Club.
  • Strong understanding of the club’s history, mission, and objectives.
  • Excellent communication and interpersonal skills.
  • Ability to provide thoughtful guidance and support to fellow members.
  • Commitment to the success and growth of the booster club.

Friends of CDA Committees (Non-Board Positions)

Campus Beautification Committee

School Improvements Chair helps to identify campus improvement projects with the school staff and booster club. Create and present project budgets to the Booster Board. Execute projects via volunteer crews or approved vendors.

Communications Committee

Manage and create the Freinds of CDA newsletter and emailers.

Work closely with and help Committees with marketing and communication about upcoming events. Assist with all forms of communication as needed to support the school and booster initiatives.

Community Fund Committee

Help track donations as they come in. Update the Vice President on any direct giving tracking and progress.

Community Partnership/Sponsorships Committee

Identify potential partners for sponsorships for our events and for other opportunities like Gate banner ads, website ads, etc. Deliver a business pitch (in person or via email) to sell banner ads. Hold meetings with potential partners. Attend local chamber of commerce meetings to get to know our community and the opportunities for fundraising. Help source and produce banner and sponsor ads.

Events Committee

The Events Director  and committee heads work closely together to:

Select a theme for the event, help with organizing and ordering needed supplies and merchandise, create a budget for approval (to present to Booster Club), Contact vendors and secure all necessary event materials, Secure permits, Sell tickets, Create signup enius for the Set-up, production and break-down of event,  Work with the Communications Committee to devise a communications/marketing plan for advertising the event, Work with the treasury for financing and reporting of event financial success.

Hospitality Committee

Ultimately the responsibility of this committee is to make the community and staff feel welcomed and appreciated.

This could include:

  • Coffee Talk with the Principal: Carry the coffee service to the library for “coffee and tea with the principal.”
  • Coffee & Treats:  For meetings on the CDA campus with parents or educators from other schools.
  • Staff December holiday luncheon: Organize luncheon for staff and curate Holiday gifts for staff
  • Teacher Appreciation Week: Create excellent ways to “appreciate” our teachers and staff and work closely with room parent director/coordinator to organize appreciation activities, and meals, for all staff.
  • Retirement gifts: (work with Booster board and room parent coordinators).
  • End of year Event: Curate gifts and luncheon for staff.

Library Committee

Help with Book Fair and other Library events as needed throughout the year.

Merchandise Committee

dentify designs and inventory for merchandise (class shirts, sweatshirts, swag & event-specific wares). Work with vendors to purchase and design merchandise. Create and present project budgets to the Booster Board. Run merchandise inventory. Maintain merchandise closet organized. Set-up merchandise and sell before/after school on specific dates and during events.  Manage and Fulfillment of orders via ChaddarUp.

Restaurant Fundraiser Committee

Work closely with existing and new restaurant partners to set-up fundraising nights (secure dates, profit share and flyers) Identify specific dates in the school’s official calendar to host restaurant fundraisers for the year. Work with the communications committee to create a communications/marketing plan to announce the events school-wide. Once event closes, collect profit share donations and communicate with Treasurers.

Room Parent

As room parent, you are essentially the class parent representative for your class and teacher. You will work closely with the teacher to address his/her needs both in the classroom, as a liaison for parents of your class and grade, and, at the school level, get to know the staff and principal. You become the “leadership” role of your class and of your grade. This role includes participating in and attending Booster Club Meetings in order to relay important information back to your classrooms. We highly encourage anyone who is interested in this position to be enthusiastic to volunteer, and to want to learn more about CDA and the Booster Club. This position expects you to be available to volunteer with both class-related events and schoolwide events. This position will also manage classroom WhatsApp or messaging groups, following the guidelines, rules of engagement, and code of conduct set by both LAUSD and FOCDA.

Room Parent Director & Coordinator

The Room Parent Director and Coordinator are in charge of making sure all classes have a room parent and spearhead the communication and organization of room parents in order to support not only class-level needs but also support all school events. 

  • Work with teachers to ensure they have a support team they are happy to work with
  • Responsible for creating, upkeeping and distributing class rosters to room parents 
  • Responsible for creating and maintaining room parent roster (class, names, contact information)
  • Ensure that all room parents understand their commitment, responsibilities and resources
    • including laying out the expected volunteerism as class representatives
  • Create room parent emailing list/WhatsApp group
  • In charge of hosting Room Parent meetings 
    • Beginning of the year- introduce all room parents and go over responsibilities, expectations and resources
    • Spooky Saturday: go over the class booth, budget and volunteering expectations
    • Class Baskets: introduce the program, give examples and help solve any issues/questions
    • All other events: present the event and the expectations for room parents
  • Liaison between the booster board and the events committee for room parents
    • Bring issues up to the board
    • Present booster plans/ideas to room parents
    • Introduce events and expectations
  • In charge of coordinating room parent involvement in all school-wide events
  • Field questions from room parents and serve as a resource to clear questions or guide them in the right direction with issues and requests
  • Send communications to ensure everyone is up to date on school happenings and events

Auction and Giveaways Committee

RESPONSIBILITIES INCLUDE: Solicit items from existing community partners (via email or in-person). Identify new donors and procure items for the auction (via email or in-person). Set-up auction website. Work closely with the Communications committee to create a communications/marketing plan to announce the auction school-wide. Write descriptions and determine pricing for each item. Once the auction closes, send individual emails to the winning bids. Make arrangements to distribute the items. TIME COMMITMENT: part-time, in person, or done remotely, mostly remotely where you call or email

Technology Committee

RESPONSIBILITIES INCLUDE: Help with CDA’s technology efforts and enhancements. (TBD)

Valet Committee

Volunteer to help keep traffic to a minimum by helping with valet on Garfield Avenue. Put out cones in the morning. Help get kids out of parent cars and onto campus. THIS IS A GREAT WAY TO GET TO KNOW THE COMMUNITY!

Volunteer Coordinator and Committee

You are the “cheerleader” of CDA. Help recruit parents to get involved in events, such as as room parents or chairing a committee. Help parents navigate the LAUSD volunteer application and ensure all parents who would like to volunteer have an opportunity to do so.

Yearbook Committee

Help with taking photos and organizing photos for the yearbook.
